Project Administrators at SOA are proactive administrative professionals with an eye for detail and an aptitude for numbers. Key to collaborate with teams to support our project work throughout the project life cycle, including assembling specifications, permit documentation, contracts and coordinating the financial contract administration of projects under construction.
REPORTS TO
This position reports to a Team Lead.
YOUR RESPONSIBILITIES
- Coordinate, compile and scan DP, BP and other project application and completion schedules and documentation, and arrange for title searches
- Coordinate and process the financial contract administration of projects in construction, including CoP, CP, CD, tracking through applicable spreadsheets and software, and project finance certificates
- Compile, edit, print and distribute specifications and project addenda
- Draft, compile and distribute CCDC contracts
- Update team project scheduling charts
- Set up new projects in the applicable software
- Draft and coordinate new project contracts between Client, Architect and Consultants, assist with project proposals as necessary
- Assist with preparation and submission of PDR, PRFS, SPDR and SPIR project reports
- Review and coordinate project completion maintenance manuals
- Collaborate with project team and accounting to set up project structure for assigning time and billing for projects
- Assists with reception cover and other administrative duties
- Participate in relevant continuing education opportunities
- Participate in building SOA team culture and events
- Model SOA core values to our team, clients and the public
- Assist in other areas as required to develop SOA’s mission, vision and values
YOUR CAPABILITIES
- Diploma or Certificate in Contract Administration, Business Administration or Accounting
- CSC Principles of Construction Documentation
- CSC Construction Contract Administrator
- CSC Specifier I
- 2+ years’ experience in a professional office environment
- Experience in the architectural, engineering, design and/or construction industry
- Proficiency in Microsoft 365

COMPENSATION
- Salary range: $48,000 – $75,000 per year, based on experience and qualifications.
